Twinco
was founded in 1994 to provide first class components
for diesel engines used in marine, stationary
and locomotive applications. It has secured the
distributorship of world renowned Original Equipment
Manufacturers (OEMs) of critical components. Together
with their expertise, innovations, continuous
research and development activities, Twinco guarantees
the quality of the parts they supply. Their delivery
program covers many engine types, including popular
Japanese makes, beyond Original Equipment supplies.

Twinco receives
a lot of faxes and emails enquiries for various
products, such as engine bearing, fuel injection
system, filter etc. Currently, all the enquiries
are received through Winfax for the faxes and
Microsoft Outlook for the emails. They are printed
for processing and then filed. When there are
telephone enquires from customers, the customer
service would have to look through all the filed
faxes and emails to find the relevant documents
in order to make a reply to the customer. This
causes slow response to customers as the search
for documents is very time consuming.
Twinco's
objective is to find a way to efficiently archive
and retrieve these documents at the same time
ensuring their security.
Canon's imageWARE
Document Manager, integrated with digital multifunction
imageRUNNER 3320i was eventually evaluated by
Ryan Stephen, IT Manager of Twinco Pte Ltd, to
be most suitable solution for Twinco. Another
unit, imageRUNNER 1270F, was installed to acts
as a backup for imageRUNNER 3320i.
Twinco's
incoming faxes are automatically forwarded by
imageRUNNER 3320i and imageWARE Gateway to imageWARE
Document Manager. In addition, all hardcopy documents
related to any customers' queries, such
as printed emails or order processed documents,
are scanned by the imageRUNNER 3320i directly
into user's PC folder and then imported into imageWARE
Document Manager for archival.
Once the documents
go into imageWARE Document Manager, the texts
are automatically recognized so that a text search
can be made on the content of the faxes through
imageWARE Document Manager. Thereafter, the archived
faxes can be easily recalled with a word search
to save user's time and reduce their frustration
of going through every fax just to look for the
right information to response to an enquiry. In
addition, Twinco's staff can now quickly
recall the faxes, modify it and send it across
to their suppliers, head office, forwarders etc.

Manager has security features that allow the administrator
to preset rights in order to prevent any documents
